Exhibit Space Details

Exhibitor tables will be located on the mezzanine level, adjacent to sessions, in the foyer of the Santa Clara Ballroom. You may bring a pop-up banner not exceeding 6’ W x 8’H, a branded tablecloth, and giveaways.
You may transport items you can carry in/out on your own or ship directly to the venue per the instructions under the shipping heading. The venue may charge a small handling fee for packages over 40 lbs or palleted materials – please let us know if your shipment meets or exceeds this. Tabletop exhibitors may access the conference WiFi network and the electrical outlet.
Ethernet and Internet
USENIX provides free WiFi to all attendees and exhibitors. Network details will be printed on your exhibitor badge.
If you need a hardwired ethernet line, email sponsorship@usenix.org for information.
Electrical
An outlet will be near the tables, but please bring your own cables and device dongles as needed. Cables and cords: Bring your own cables, dongles, and adapters that are compatible with your device. If you ordered a monitor, ensure your cables are long enough to reach the monitor from your laptop.
Monitor Rental
Monitors for tabletops should be ordered through Show Imaging no later than Thursday, February 13, 2025.
Lead Retrieval
Exhibitors have the option to buy lead retrieval licenses via the Cvent LeadCapture app, which is downloadable to your own device. These can be purchased by your exhibit admin in the exhibitor portal. Here are instructions on how to use the app.
Overnight Security
There is no overnight security. Please remove valuables such as laptops before leaving. If you have boxes that do not fit under your draped table, you may coordinate with a USENIX staff member onsite to request overnight storage on Tuesday and Wednesday.
Shipping
Your sponsorship includes package handling and storing under the following conditions:
- All inbound shipments must arrive between Wednesday, February 19, 2025 and Friday, February 21, 2025.
- Label exaclty as indicated (see linked label below).
- Packages should not exceed 40lbs.(A fee may be incurred for larger shipments.)
- Palleted materials or 10+ packages may incur a fee from the venue.
- If you’re using a third party to manage your collateral, please share this information with them.
- USENIX will place your packages at your table during exhibitor setup.
Don't forget to:
- Hold onto your boxes for returning items post-event.
- Have prepaid, pre-printed labels ready in advance.
- Leave your exhibit space as you found it and do not leave discarded or unwanted items in the exhibit area.
Don’t forget! Email sponsorship@usenix.org your tracking numbers and a description of the contents to ensure we can locate your packages onsite and deliver them to your tabletop.
Exhibitor only Registration
Exhibitor-only badges are required for those staffing a table and allow access to the hallway track only.
- Exhibitor-only badges are separate from conference passes or any sponsor passes that may be part of your sponsorship.
- Sponsorship will email your sponsorship’s main point of contact with the exhibitor registration link.
Important: Anyone registered to attend sessions with a full conference pass may double as an exhibitor. They do not need to register as an exhibitor. However, exhibiting staff who would like to attend sessions will not be allowed unless registered as a full attendee with either a sponsor pass or a regular registration.
